4PA-IQUEST TUITION CONTRACT
With Enrollment, Cancellation, Refund, & Disciplinary Policies
ENROLLMENT
Academic Year Enrollment - All 4PA-IQuest afterschool program enrollments (inclusive of MindQuest, tutoring, classes, etc.) are for the entire 2019-2020 Academic year, which follows the Leander ISD calendar (Thursday August 15, 2019 to Thursday, May 28, 2019). The afterschool program schedule is separated into a Fall term (beginning August 15 and ending December 20, 2019) and a Spring term (beginning January 7, 2020). All enrollments at the end of the Fall term (December 20th) are automatically rolled-over to the Spring term in January. Enrollments are ongoing, on a rolling basis, and can be started at any time during the school year or summer.
Summer Enrollment & Camps - Unless expressly stated otherwise, all policies and terms provided herein are fully applicable to enrollment in summer programs and/or special programs during other vacation periods. Additional/Different policies may be promulgated for specific programs, and those additional policies govern the enrollments for those programs.
TUITION
Registration Fees - A non-refundable registration fee of $50 per class or $100 per MindQuest is due and payable at the time of registration with the program. A discount and/or waiver of the registration fee may be provided during periods in which we provide an enrollment special or other special offers. Kindly inquire whether there is an applicable registration fee discount.
Tuition Payments - Tuition is billed on a 4-week cycle, in advance of the classes. Following the initial tuition payment at registration, additional tuition payments will be automatically billed at each four-week interval. Parents should expect to have a tuition payment each 4 week period. However, each end of term tuition payment shall be pro-rated based on the number of weeks (or class periods) remaining in the term.
CLASSES
Length of classes - Typically, our classes are approximately 55 minutes in duration. Extended 85-minute classes can also be scheduled at a 50% higher fee than a regular (55min) class fee.
Class Designation Based on Enrollment - Our Class Designations are as follows:
· Group classes (a minimum of 3 students with open enrollment) – offered at a 1st billing level
· Semi-private classes (2-3 students) - offered at a 2nd billing level
· Private tutoring – offered at a 3rd/4th billing level, with level based on subject and instructor
Initial class designations are provided prior to the start of the Term(s), but the designation can be modified - based on the number of students enrolled for the particular class at the start of the class and at each billing period during the academic year. A group or semi-private class “makes” when the required minimum number of students have enrolled (3 students for a group class or 2 students for a semi-private class). Parents who request a group class will be charged a group class rate during the initial months of registration. If a class fails to have the required minimum of students at any point during the term, the parents will be contacted about the class enrollment status and be given an opportunity to continue the class at the next higher billing level (i.e., group class coverts to a semi-private class and semi-private class converts to a private tutoring class) at the next billing cycle. If parents do not agree to move to the next billing level, the class may be canceled for the next term.
*Multiple Class & Sibling Discounts: With the exception of MindQuest enrollment, private and semi-private tutoring classes and classes hosted by a third-party vendor (e.g. Playwell), you are entitled to receive a 10% discount on the second group class when registering a child for more than one class OR registering siblings for the same class. In this instance, the first, highest-priced class will be charged at full price and the subsequent single class will receive a 10% discount automatically deducted at checkout. Please make sure that you register for all the classes at the same time to receive the discount. Should you encounter any issues, please contact us and we will make any necessary adjustments.
SHUTTLE
4Points Academy and IQuest contract with a third-party shuttle provider to provide shuttle services to children who attend our after-school care program, MindQuest. The shuttle runs from the three (3) Steiner Elementary Schools. Shuttle selection is included with several of the MindQuest registration options. Limited shuttle services may be made available to students who register for individual classes at the Center. Parents will need to select the shuttle option during class registration. Shuttle pick-up is provided at the end of the school day on full academic days only. No shuttle service is provided for early release days. Parents electing to use the shuttle must complete and sign a shuttle permission form prior to their child using the shuttle. The shuttle service is an independent service and concerns about the shuttle can be given directly to the shuttle owner. In limited situations, if there are problems with the shuttle, an IQuest staff may perform the pick-up of the kids, pursuant to the authorization provided in the permission form. Parents who agree to utilize the shuttle releases 4PA-IQuest from any liability that may arise from activities related to their child being transported on the shuttle.
Notification of School
Parents are required to inform the school administration that their child is scheduled to be picked up from school by the designated shuttle and/or by specific IQuest staff named on the permission form. For the 2019-2020 academic year, the third-party shuttle provider is Goddard School Shuttle.
No Cancelation or Refund
The third-party shuttle provider bills for the shuttle at the beginning of the billing period. There are no refunds for missed shuttle days. Parents are reminded that the shuttle agreement is a binding contract and that no refunds or credits are provided for missed days of school or days in which the student does not take the shuttle.
BILLING
We require a billing profile to be set up for each account with a current credit card. We accept all major credit cards - Visa, Mastercard, Amex and Discover cards. For semester long courses, a first 4-week tuition will be automatically billed to the credit card that you have authorized on file during the registration and then prior to the first week of each of the following 4-week cycles. You will receive an email confirming the transaction. We charge for any additional fees (e.g., book fees, shuttle fees, supply fees) at the same times as the tuition, as a single transaction or multiple transactions. However, you have the option of remitting payment online via the "Make A Payment" tab for other items such as book fees. Most of these fees are due at the time of registration and collected during the processing of your registration.
For accounts that are not set up for auto-billing, please be aware that payments that cannot be processed made by the start of the 4-week class period is late, and that payment that is more than 5 days after the start of a 4-week period will be charged a late fee of $5 per day. If payment is not received by the 15th day after the start of the 4-week period, your child's attendance in the program will be suspended until the balance is settled, including full payment of the late fee ($50). A $35.00 return check fee will be charged on all checks returned by the bank, in addition to the full amount owed on the account.
ATTENDANCE & MISSED CLASSES
Consistent attendance is essential for progress. Tuition is non-refundable and no credit will be applied for classes missed by the student.
Make-ups - No makeup is available for missing a scheduled class. The following exceptions apply:
CANCELLATION & WITHDRAWAL POLICY
Center cancellations: Prior to the start of any class or camp, we reserve the right to cancel that class or camp due to scheduling changes or low enrollment. We further reserve the right to re-offer a group class as a semi-private class or private class to the enrolled students. In the event of a full cancellation by the Center, you will be refunded in full for any classes/camps cancelled. For group classes converted to a semi-private or private class, the higher per class fee will be charged, with notice to and agreement from parents.
Withdrawal and cancellation policies for Partner Programs may differ and will apply to cancellations from those classes/camps.
Cancellation & Change fee before class: For 4PA-IQuest programs, there is no refund for cancellations within 14 days of the start of the camp/class. All changes or cancellations requested outside of the 14-day period before the class begins will incur a $50 non-refundable processing fee.
Camp Cancellations: There is no refund on camp registrations. All changes or cancellations requested on a camp enrollment will incur a $50 non-refundable processing fee. For enrollment cancellations, a credit of the paid tuition, less the $50 cancellation fee, will be applied to the parent’s account. That credit can be used for a 12 month period towards another camp or class offered by 4PA-IQuest.
Cancellations after class begins: There is no refund once a class starts. A thirty (30) day advanced notice (in writing) is required to cancel an enrollment in (or withdrawal from) any ongoing class, and the cancellation is effective on the 1st day of the following month after the 30 days have elapsed. No refund will be issued if the cancellation request is not timely received and the account will be charged for the next full month of classes.
For the avoidance of doubt, a written notice must be received (email shall suffice) by or before the last day of the current month in order for the cancellation/withdrawal to be effective after the end of the following month. For example, cancellation notice must be received by November 30th to be effective for January 1st.
o If the cancellation notice is received after November 30th, example, December 1st, then the cancellation will not be effective until February 1st.
· A $50 cancellation fee will be applied for any cancellations/suspensions requested before the end of the academic year (regardless of the written notice being provided)
Suspension - Our program does not support suspension of enrollments. A request for suspension will be treated as a cancellation, will be processed according to the 30-day notice requirement and be subject to the early cancellation fee. See Cancellation Policy.
DISCIPLINARY ACTIONS
All children who enter our facility are expected to engage in positive behavior and use appropriate language when interacting and/or communicating with the Teachers, Guides, and other students at the Center. We reserve the right to remove/suspend/expel/dismiss from a class/camp/Quest and/or from our Program any student who is disruptive and/or disrespectful and who refuses to stop being disruptive/disrespectful after being asked to. We further reserve the right to implement disciplinary actions, up to and including dismissing a student whose conduct is dangerous, illegal, or unsatisfactory at the discretion of the Director, or whose conduct is disruptive and/or detrimental to the Center and/or other students. We will provide parents with notice of any behavior observed from their child that is not acceptable. No refunds are given for dismissed students.
MODIFICATION OF POLICY
We reserve the right to update this policy from time to time. Persons who have enrolled prior to a policy modification will have their enrollment governed by the policy in effect at the time of their enrollment.

- Teacher absence or Center closure - Where a class is cancelled or postponed due to a teacher absence or Center closure, a makeup outside of the regular scheduled time may be scheduled by the Instructor/Teacher, if the student(s) is able to make the scheduled makeup class time. A credit shall be applied to the parent account for any such classes that cannot be made up by rescheduling.
- 24Hr Notice of Absence for Private Classes - Where a parent notifies the Center of an absence from a scheduled private class at least 24 hours before the scheduled class, the parent may request the teacher schedule a make-up for that private class, if scheduling permits. 50% of the class fee will be charged for the opportunity cost of the missed teacher time. However, for a semi-private class or group class, the full class fee is charged, and the teacher can, on request from the parent, provide work material for the student to pick up and complete at home.
- Group (and Semi-P) classes - No makeup is available for students who misses a scheduled group/semi-Private class. If another similar level class exists, the student may be permitted to attend the other existing class during that week to receive teacher instruction; However, the parent's account will be charged an additional $15 prep fee to account for the teacher time required to prep for that additional student to join the other class.
